What is Auto Attendant?

An auto attendant, also known as an automated attendant or virtual receptionist, it is a feature used in phone systems to efficiently route incoming calls and provide callers with options for reaching the appropriate department or person within an organization.

How OneSuite Business auto attendant works:

Greeting Message: When callers dial your company main phone number set up on your OneSuite Business account, they are greeted by a pre-recorded message from the auto attendant. This message often includes a welcome greeting and instructions for navigating the menu options.

Your OneSuite Business admin can upload a pre-recorded message .wav or .mpeg file, or your can record the message in your OneSuite Business app.

Menu Options: After hearing the greeting message, callers are presented with a series of menu options, usually spoken aloud by the auto attendant. These options may include prompts such as “Press 1 for Sales, Press 2 for Customer Service,” and so on. OneSuite Business offers simple and intuitive guided set up for our users to assign each menu key. Basically just a few clicks of button. Our co-worker’s 8th grade daughter was able to set up an auto-attendant for her girl scouts.

Call Routing: Based on the option selected by the caller, the auto attendant routes the call to the appropriate destination. This could be a specific person or extension, or simultaneous ring to all, to listen to a pre-recorded message such as address and business hours, or to leave a voicemail.

Fallback Options: In case the caller doesn’t select any option or if there’s no response, the auto attendant may offer fallback options such as repeating the menu, transferring to a receptionist, or providing general information about the business.
