Terms & Conditions
By subscribing to the services of OneSuite Corporation (“OneSuite Business”), you agree to the following terms and conditions with respect to your account (“Account”). Use of OneSuite Business’ services (“Service”) will constitute your consent to these terms and conditions.
The following Document is a Contract and a legally binding Agreement. You must read the entire Terms and Conditions carefully before using or accessing our website or services. By accessing the OneSuite Business website and using any of the services offered or provided by OneSuite Business, you confirm your acceptance of, and agree to be bound by, all of the conditions of use set forth in this Agreement. Please DO NOT use this website or services if you do not accept all the terms and conditions stated herein and at other places (including FAQ’s and Privacy & Security section) on this website.
Disclaimers and Limitation of Liability
OneSuite Business does not guarantee the continuous, uninterrupted or secure access to the OneSuite Business website or any related services. The operation of the OneSuite Business website may be interfered with by numerous factors outside the control of OneSuite Business.
Under no circumstances shall OneSuite Business be liable for any damages that result from the use of or inability to use OneSuite Business website, including but not limited to reliance on any information obtained from the OneSuite Business website or that result from mistakes, interruptions, deletion of e-mails, errors, delays in operation or transmission, or any failure of performance.
OneSuite Business will not be liable for any direct or indirect, incidental, special or consequential damages arising from the use of the OneSuite Business website or the purchase of any product and/or service.
Services and Features
OneSuite Business reserves the right in creating or making any changes on all its services and features with or without notice. Please protect all your account information. OneSuite Business is not responsible for any lost, stolen or unauthorized usage of your account.
OneSuite Business Total Communications
Total Communications consists of IPPBX, SMS and Fax used in conjunction with the OneSuite Business App, as described in detail below:
OneSuite Business IPPBX is a cloud-based unified communications (UCaaS or IP PBX) service that includes voice-over-IP (VoIP), call handling (e.g. auto-attendants, call queues, conferencing), smartphone apps, and bring-your-own-device (BYOD) capability.
The IPPBX Services include:
- Voice-over-IP Services, including extension-to-extension calling and the ability to make calls to, and receive calls from, the public switched telephone network (PSTN).
- Audio-conferencing, voicemail and call forwarding service.
- Collaboration Tools, including one-to-one and group chat, SMS/Texting (where available, thru smartphone app) and other innovative tools.
The IPPBX Services may be accessed primarily through the OneSuite Business Smartphone App in tandem with an online portal where your account administrator can configure settings according to your business’ needs. Local and toll-free numbers are available to you when you subscribe to this Service. VOIP usage charges are based on call duration, in 1-minute increments.
OneSuite Business SMS is an add-on feature that enables you to receive and send text messages through the Onesuite Business Smartphone App. SMS feature can only be added to the local numbers you subscribed to for Onesuite Business IPPBX, and sending is limited to US and Canada numbers. Incoming SMS/text messages cannot be forwarded. SMS/text usage charges are based on number of messages sent and received, unless you have subscribed to an unlimited SMS plan.
OneSuite Business Fax is an add-on service that enables you to receive fax messages through your email and to send fax messages through a supported web browser. Only local numbers are available to you when you subscribe to this Service. Usage charges are based on transmission (sending) duration, in 1-minute increments.
You may transfer your existing telephone or toll-free number to OneSuite Business and elect to use said numbers for the Services, subject to the conditions stated under Ownership of Numbers below.
IMPORTANT NOTE: Total Communication accounts require at least one (1) telephone number to be active and assigned to your IPPBX; disconnecting or porting out all of your IPPBX numbers will result in your add-on services (e.g. SMS or Fax) to be disconnected/cancelled as well.
OneSuite Business Smartphone App (the “App”)
Subject to the terms and conditions of this Agreement, OneSuite Business hereby grants you a limited, personal, non-exclusive, non-sublicensable, non-assignable license to: (i) download, install and use the OneSuite Business Smartphone App on your Device for the sole purpose of personally using the Services for your business; and (ii) use the Services together with the App in accordance with this Agreement.
You may not assign (or grant a sub-license of) your rights to use the App or otherwise transfer any part of your rights to use the App.
App Providers; Wi-Fi Hotspot Services
By using the App and the Services you agree to comply with, and your license to use the App and Services is conditioned upon your compliance with, the terms of use of App Providers applicable to your use of the App and the Services (“App Providers Policies”). It is your responsibility to keep up-to-date with applicable App Providers Policies. You acknowledge that to the maximum extent permissible by law, the App Provider (and its subsidiaries) are third-party beneficiaries of this Agreement and will have the right to enforce this Agreement.
To the extent the terms and conditions of this Agreement are less restrictive than, or otherwise conflict with, App Providers Policies applicable to Your use of the App and the Services, the more restrictive or conflicting terms contained in the applicable App Providers Policies shall apply, but solely with as required to resolve such conflict.
You acknowledge and agree that the App and use of the Services uses network services and may incur additional network data charges (including additional charges when roaming).
Your use of any third-party Wi-Fi hotspots is subject to any applicable third-party terms of service or Acceptable Use Policies, including any applicable Privacy Policy.
The App may use your location in order to collect Wi-Fi hotspot locations, determine your proximity to an available Wi-Fi hotspot, and manage the service offering. This notice along with the Privacy Policy shall serve as your notice that the App may collect your location information.
You acknowledge and agree that your communications sent over the Internet or Wi-Fi networks are only secure if you are using a specific communication protocol intended for securing such communications. Further, you acknowledge and agree that communications sent over third-party unsecured Wi-Fi networks are not private and may be seen and used by others. For these reasons, OneSuite Business does not recommend that you disclose personal information over third-party unsecured Wi-Fi networks without ensuring that adequate security precautions are taken prior to transmittal.
App Merchants
You acknowledge and agree that the availability of the App is dependent on the third-party from which You downloaded or received the App (the “App Merchant”). You acknowledge that this Agreement is between You and OneSuite Business and not with the App Merchant. OneSuite Business, not the App Merchant, is solely responsible for the App and the Services, the content thereof, maintenance, support services, and warranty therefor, and addressing any claims relating thereto. You agree to pay all fees charged by the App Merchant in connection with your download of the App (if any). You agree to comply with, and your license to use the App and the Services are conditioned upon your compliance with, all applicable third-party terms of agreement when using the App. You acknowledge that to the maximum extent permissible by law, the App Merchant (and its subsidiaries) are third-party beneficiaries of this Agreement and will have the right to enforce this Agreement.
Android and iOS / iPadOS Devices: If you download the App from the Apple app store or Google Play Store (the “App Store”) or use the App to run on the Apple Inc. (“Apple”) operating system (“iOS” or “iPadOS”), such as with the iPhone, iPod, iPad or other related device using such iOS or iPadOS, or on the Google Android Operating Systems (“Android”), the following terms will also apply and you acknowledge and agree to the following terms:
Acknowledgement: OneSuite Business and you acknowledge that this Agreement is concluded between OneSuite Business and you only, and not with Apple or Google, and OneSuite Business, not Apple or Google, is solely responsible for the Services and the App and the content thereof. To the extent the other terms and conditions of this Agreement are less restrictive than, or otherwise conflict with, the terms and conditions outlined hereof, the more restrictive or conflicting terms and conditions in this Agreement apply, but solely with respect to the use of the Services and the App when used on iOS, iPadOS or Android.
Scope of License: The license granted to you for the App is limited to a non-transferable license to use the App on any iOS, iPadOS or Android device that you own or control and as permitted by the Usage Rules set forth in their respective App Store terms of service.
Maintenance and Support: OneSuite Business is solely responsible for providing any maintenance and support services with respect to the Services and the App, as specified in this Agreement (if at all), or as required under applicable law. OneSuite Business and you acknowledge that Apple or Google has no obligation whatsoever to furnish any maintenance and support services with respect to the App.
Warranty: OneSuite Business is solely responsible for any product warranties with respect to the Services and the App, whether express or implied by law, to the extent not otherwise disclaimed. In the event of any failure of the App to conform to any applicable warranty, you may notify Apple or Google, and Apple will refund the purchase price for the App to you, if any; and that, to the maximum extent permitted by applicable law, Apple or Google will have no other warranty obligation whatsoever with respect to the App, and any other claims, losses, liabilities, damages, costs or expenses attributable to any failure to conform to any warranty will be OneSuite Business’ sole responsibility.
Product Claims: OneSuite Business and you acknowledge that OneSuite Business, not Apple, is responsible for addressing any claims of you or any third-party relating to OneSuite Business and the App or your possession and/or use of the App, including, but not limited to: (i) product liability claims; (ii) any claim that the App fails to conform to any applicable legal or regulatory requirement; and (iii) claims arising under consumer protection or similar legislation. This Agreement does not limit OneSuite Business’ liability to you beyond what is permitted by applicable law.
Intellectual Property Rights: OneSuite Business and you acknowledge that, in the event of any third-party claim that the Services or the App or your possession and use of that App infringes that third-party’s intellectual property rights, OneSuite Business and/or you, not Apple or Google, will be solely responsible for the investigation, defense, settlement and discharge of any such intellectual property infringement claim.
Third-Party Beneficiary: OneSuite Business and you acknowledge and agree that Apple or Google, and Apple’s or Google’s subsidiaries, are third-party beneficiaries of this Agreement, and that, upon your acceptance of the terms and conditions of this Agreement, Apple or Google will have the right (and will be deemed to have accepted the right) to enforce the Agreement against you as a third-party beneficiary thereof.
SMS-to-Email
SMS-to-Email is a distinct and standalone offering that allows you to subscribe to a virtual number that is only capable of receiving text messages and deliver that message to your designated email. Your will not be able to make or receive voice calls to this virtual number; you will not be able to send out text messages using this number. SMS-to-email accounts may not be converted to other account types, i.e. If you subscribed to SMS-to-email account and later on decide to use this number as a phone number for your Total Communication account (SMS Add-on), your request will not be honored. You may not merge your other OneSuite Business accounts (e.g. Total Communication + SMS-to-Email or Total Communication + Web Fax accounts). If, for instance, you want to have an IPPBX account and an SMS-to-email account, you will have to maintain these two accounts independently and separately.
Web Fax
Web Fax is a distinct and standalone offering that allows you to subscribe to a virtual fax number that is only capable of fax transmissions over the internet. Depending on your subscription, you may send out fax messages using a compatible browser and/or receive incoming fax messages to your designated email. You will not be able to make or receive voice calls to this virtual fax number. You may not use a converter (i.e. ATA device) to enable sending fax through a physical fax machine. Web Fax accounts may not be converted to other account types, i.e. if you subscribed to Web Fax account and later on decide to use this number as a phone number for your Total Communication account (Fax add-on), your request will not be honored. You may not merge your other OneSuite Business accounts (e.g. Total Communication + SMS-to-Email or Total Communication + Web Fax accounts). If, for instance, you want to have an IPPBX account and a Web Fax account, you will have to maintain these two accounts independently and separately.
OSB OneLine Service
The OSB OneLine Service (“OneLine”) is a standalone VoIP telephone service that uses a physical telephone unit (the “OneLine Device”) provided by OneSuite Business. OneLine accounts may not be converted to other account types, i.e. if you subscribed to OneLine account and later on decide to use this number as a phone number for your Total Communication account, your request will not be honored. You may not merge your other OneSuite Business accounts (e.g. OneLine + Total Communication Accounts or OneLine + SMS-to-Email or OneLine + Web Fax accounts). If, for instance, you want to have a OneLine account and a Web Fax account, you will have to maintain these two accounts independently and separately.
OneSuite Business imposes a limit of (a) one device and (b) one telephone number per OneLine account. If you need multiple devices or telephone numbers for your business, you may either subscribe to a Total Communications account or create multiple OneLine accounts. Multiple OneLine accounts may not be merged under one account and must be managed independently and separately.
OneLine is billed on an annual prepaid basis and requires you to maintain a separate prepaid balance for usage charges (e.g., per‑minute calling, international calls, etc.) and other fees as described in this Agreement. Your use of OneLine constitutes your acceptance of the following additional terms and conditions.
A. Equipment Lease, Risk of Loss, and Return
Lease; Ownership. The OneLine Device is leased, not sold, to you. OneSuite Business retains all right, title, and interest in the OneLine Device. You are granted a non‑transferable, non‑exclusive right to possess and use the OneLine Device only during your active subscription to the OneLine Service and only in accordance with this Agreement.
Risk of Loss. You bear all risk of loss, theft, casualty, or damage to the OneLine Device from the time it is delivered to you until it is returned to and received by OneSuite Business. If the OneLine Device is lost, stolen, or damaged (normal wear and tear excepted), you will be charged the replacement cost of the device, which shall be immediately deducted from your prepaid balance or charged to your credit card on file.
Return of Equipment Upon Cancellation. When your OneLine subscription ends for any reason (including cancellation by you or termination by OneSuite Business), you must return the OneLine Device to OneSuite Business within fifteen (15) days after the effective cancellation date. Return instructions and a return authorization can be generated on the OneSuite Business portal or by calling Customer Support. You are responsible for all shipping and handling costs. If the OneLine Device is not returned within fifteen (15) days, or if it is returned in damaged condition (beyond normal wear and tear), OneSuite Business will charge your credit card or prepaid balance a non‑returned equipment fee of $59.99, in addition to any other sums due.
Tampering and Unauthorized Use. You agree not to change any serial number or device identifier, alter the hardware or firmware, or attempt to derive source code from any software embedded in the OneLine Device. Any tampering or unauthorized modification is a material breach of this Agreement and may result in immediate termination of your OneLine Service, forfeiture of all prepaid amounts, and a charge for the replacement cost of the device. For security purposes, the SIP credentials for your OneLine device will not be provided to you; you are not allowed to use any other device that is not provided by OneSuite Business to use with your OneLine subscription.
Shipping & Handling: Delivery to Credit Card Billing Address Only. OneSuite Business will only ship the OneLine device to the confirmed credit card billing address used when you placed your order. Your order will be rejected if an address other than the credit card billing address is entered in the order form. Once an order is successfully placed, we will not honor any changes in shipping address or non-standard delivery instructions.
Shipping & Handling: Additional Terms & Conditions. When you order OSB OneLine, you are provided options on shipping methods available on the sign-up and order portals. You agree to abide by the Terms and Conditions of the specific carrier of your choice. OneSuite Business has no control of these shipment methods, nor do we guarantee timely and accurate delivery of the third-party shipping company.
B. Trial Period and Cancellation
30‑Day Trial Period. New OneLine subscribers are entitled to a one‑time thirty (30) day trial period, commencing on the date you registered your OneLine device on the OneSuite Business portal (the “OneLine Activation Date”). If you are not satisfied with the OneLine Service, you may cancel within the trial period and receive a refund of the annual subscription fee you paid, subject to the following conditions:
- You must call OneSuite Business Customer Support within thirty (30) days of the OneLine Activation Date to obtain a return authorization.
- You must return the OneLine Device in its original condition (including all packing materials, parts, accessories, and documentation) within seven (7) days after calling to cancel. The returned parcel must be postmarked within that seven‑day period.
- Usage charges (e.g., per‑minute international calls, toll charges) incurred during the trial period are never refundable.
Cancellation After Trial Period. If you cancel your OneLine subscription after the 30‑day trial period, the annual subscription fee is entirely non‑refundable. No refund or credit will be given for any unused portion of the annual term. You must still return the OneLine Device as described in Section A above to avoid the $59.99 non‑returned equipment fee.
Early Termination Fee. Because the OneLine Service is billed annually in advance, no separate early termination fee applies. However, you remain liable for all usage charges and other fees accrued through the cancellation date, and the annual fee is non‑refundable as stated above.
C. Billing, Payment, and Prepaid Balance
Annual Subscription Fee. The OneLine Service requires payment of an annual subscription fee in full at the time of sign‑up. This fee covers the base service (including a local or toll‑free number and basic VoIP calling features) for a twelve‑month term. The annual fee is non‑refundable except as expressly provided in the 30‑day trial period above. OneSuite Business will automatically charge your credit card on file for renewal of the annual subscription each year, unless you cancel your OneLine Service at least thirty (30) days before the renewal date.
Prepaid Balance Requirement. In addition to the annual subscription fee, you must maintain a separate prepaid balance in your OneSuite Business account to cover usage charges (e.g. per‑minute calls to numbers outside your plan’s included destinations, international calls, directory assistance, etc.) and any other fees (e.g. replacement device costs, non‑returned equipment fee). Usage charges are deducted in real time from your prepaid balance. If your prepaid balance becomes insufficient, OneSuite Business may suspend your outbound calling capability (including the ability to make calls that incur usage charges) until you add sufficient funds. Inbound calls may still be received at OneSuite Business’ discretion.
Auto‑Recharge and Credit Card Authorization. By signing up for OneLine, you authorize OneSuite Business to: (i) charge your credit card for the annual subscription fee at sign‑up and on each renewal, and (ii) charge your credit card for auto‑recharge of your prepaid balance according to the Auto‑Recharge settings you select. The existing Online Payment; Autopay; Auto‑recharge section of this Agreement applies to your prepaid balance but does not apply to the annual subscription fee.
Expiration of Prepaid Balance. The prepaid balance associated with your OneLine account is subject to the same six‑month inactivity expiration described in the Expiration of Pre‑paid Balance due to inactivity section of this Agreement. However, the annual subscription fee itself is not subject to expiration; it is consumed over the twelve‑month term.
Renewal Notice: At least 30 days before each annual renewal of your OneLine Service, OneSuite Business will send you a reminder notice via email stating the renewal date, the annual fee, and instructions for cancelling auto-renewal. You may cancel auto-renewal at any time through your account portal or by contacting Customer Support.
D. Incompatibility with Other Devices and Services
The OneLine Service and the OneLine Device may not be compatible with all non‑voice communications equipment or services. You acknowledge and agree that OneSuite Business is not liable for any incompatibility, interference, or disruption arising from your use of the OneLine Service or Device with:
- Home security systems, burglar alarms, or fire alarms;
- Medical monitoring equipment (e.g., personal emergency response systems);
- Fax machines or analog telephone adapters used for fax;
- Satellite television systems (e.g., certain set‑top boxes that dial out);
- TTY or TDD devices (teletypewriters for the deaf);
- PBX, Centrex, or other private telephone networks;
- Computer modems or dial‑up internet services.
OneSuite Business strongly recommends that you maintain a separate, traditional landline or other reliable connection for any such equipment. You waive any claim against OneSuite Business arising from interference with or disruption of these devices or services.
E. Emergency Services – 911 Dialing (OSB OneLine Specific)
The following provisions apply specifically to the OneLine Service and as a supplement to the general Emergency Services Disclosures section of this Agreement to the extent necessary for OneLine.
911 Emergency Dialing – VoIP Limitations. The OneLine Service is a VoIP‑based service. While OneSuite Business offers 911 emergency dialing with the OneLine Service, it has important limitations that differ from traditional landline 911 service.
Registration of Physical Location Required. You must provide and keep current the physical address where the OneLine Device will be located (your “Registered Location”). To update your Registered Location, you must notify OneSuite Business at least ten (10) business days before moving the device. If you fail to provide a correct physical address, or if you move the device without updating your Registered Location, emergency responders will be dispatched to the old address, and OneSuite Business will have no liability for any resulting harm.
Service Outages. The OneLine 911 dialing feature will not function during:
- A power outage (until power is restored and the device is reset, if necessary);
- An internet broadband outage or interruption;
- Suspension or termination of your OneLine Service for any reason (including non‑payment);
- Network congestion or delays inherent in VoIP routing.
911 Call Handling. When you dial 911 from the OneLine Device:
- Your call will be routed to the emergency response center responsible for your Registered Location.
- Emergency personnel will be dispatched to your Registered Location, not necessarily your actual location at the time of the call.
- If your Registered Location cannot be validated, or if the underlying 911 network fails, your call may be routed to a national call center where an operator will ask for your address. This will delay response time.
No 911 from Virtual Numbers. If you use a virtual number (e.g., an 899 area code number) with the OneLine Device for any reason, that number will not support 911 calling.
911 Acknowledgment. Before activating OneLine service, you will be required to separately acknowledge and agree to these 911 limitations. OneSuite business will not activate OneLine service until such acknowledgment is received.
Disclaimer and Indemnification. TO THE FULLEST EXTENT PERMITTED BY LAW, ONESUITE BUSINESS DISCLAIMS ALL LIABILITY FOR ANY CLAIM, DAMAGE, OR LOSS ARISING FROM OR RELATED TO THE ABSENCE, FAILURE, OR OUTAGE OF 911 EMERGENCY DIALING SERVICES VIA THE ONELINE SERVICE. YOU AGREE TO INDEMNIFY AND HOLD HARMLESS ONESUITE BUSINESS AND ITS AFFILIATES FROM ANY CLAIMS ARISING FROM YOUR INABILITY TO DIAL 911 OR YOUR FAILURE TO PROVIDE AN ACCURATE REGISTERED LOCATION. YOU ACKNOWLEDGE THAT YOU MUST MAINTAIN AN ALTERNATIVE MEANS OF ACCESSING TRADITIONAL 911 SERVICES (E.G., A CELLULAR PHONE OR LANDLINE) AND YOU WILL ADVISE ALL MEMBERS OF YOUR HOUSEHOLD AND GUESTS OF THESE LIMITATIONS.
F. No Directory Listing
OneSuite Business does not publish or list any phone number assigned to your OneLine Service. You agree not to request or expect directory listing services. If you receive calls intended for a previous subscriber of the number assigned to you, OneSuite Business’ sole remedy is to replace the number at your request. You are solely responsible for any expenses or damages arising from your own publication of the number.
G. Non‑HIPAA and Non‑GDPR Compliance
The OneLine Service, like all OneSuite Business services, is not HIPAA compliant and is not intended for the transmission of protected health information. By subscribing to OneLine, you represent and warrant that you are not a resident of the European Economic Area or the EU, and you agree that OneSuite Business has no GDPR obligations toward you. In the event OneSuite Business becomes aware of EU residency, OneSuite Business may terminate the account at any time with no liability to you whatsoever.
IMPORTANT NOTE: OneLine accounts require at least one (1) telephone number to be active and assigned to your OneLine device; disconnecting or porting out all of your telephone numbers will result in all services to be disconnected/cancelled as well.
Customer Responsibility and Fair Use policy
OneSuite Business operates a Fair Use Policy to ensure excessive, inappropriate or unreasonable use by some customers does not affect the quality of the experience or the integrity of the OneSuite Business Network for other customers. If in OneSuite Business’ reasonable opinion your usage is abusive, inappropriate or unreasonable, OneSuite Business reserves the right to request that you stop using the services in this manner and to contact you to discuss a more appropriate products / services for you. In the event of continued abusive, inappropriate or unreasonable use, OneSuite Business reserves the right, without further notice, to remove the service from your account or suspend your account.
You are fully responsible for the contents of all your transmissions, whether audio, fax, or SMS/text and email, through the Services. OneSuite Business simply acts as a passive conduit for you to send and receive information of your own choosing. However, OneSuite Business reserves the right to take any action with respect to the Services that OneSuite Business deems necessary or appropriate in its sole discretion, if OneSuite Business believes you or your information may create liability for OneSuite Business, compromise or disrupt the Services for you or other Customers, or cause OneSuite Business to lose (in whole or in part) the services of OneSuite Business’ ISPs or other suppliers.
Your use of the Services is subject to all applicable local, state, national and international laws and regulations (including without limitation those governing account collection, export control, consumer protection, unfair competition, anti-discrimination, securities or false advertising). You agree: (1) to comply with all laws regarding the transmission of technical data exported from any country through the Services; (2) not to use the Services for any illegal purpose; (3) not to interfere with or disrupt networks connected to the Services; (4) to comply with all regulations, policies and procedures of networks connected to the Services; (5) not to use the Services to infringe any third party’s copyright, patent, trademark, trade secret or other proprietary rights or rights of publicity or privacy; and (6) not to transmit through the Services any unlawful, harassing, libelous, abusive, threatening, harmful, vulgar, obscene or otherwise objectionable material of any kind or nature. You further agree not to transmit any material that encourages conduct that could constitute a criminal offense, give rise to civil liability or otherwise violate any applicable local, state, national or international law or regulation. The Services make use of the Internet for you to send and receive information of your own choosing. As a result, your conduct is subject to Internet regulations, policies and procedures. You agree not use or reference the Services for chain letters, junk fax, junk SMS or junk mail, spamming or any activity making use of distribution lists to any person who has not given specific permission to be included in such a process or on such list. You further agree not to attempt to gain unauthorized access to other computer systems. You shall not interfere with another Customer’s use and enjoyment of the Services or another entity’s use and enjoyment of similar services.
SMS: Prohibited Content
OneSuite Business SMS prohibits content related to SHAFT (Sex, Hate, Alcohol, Firearms, Tobacco), illegal substances, high-risk financial services, and deceptive marketing in the US and Canada. Key restrictions include a total ban on cannabis/CBD, payday loans, debt collection, and fraudulent scams, while alcohol/tobacco requires strict age-gating. Public shorteners (and URL shorteners that hide destination) are also prohibited.

Other Prohibited Content & Use Cases:
- Controlled Substances: All illicit drugs, Cannabis, CBD, and Kratom are strictly forbidden.
- High-Risk Finance: Payday loans, high-interest loans, auto/mortgage/student loan marketing, debt collection, credit repair, and cryptocurrency.
- Deceptive Practices: “Get rich quick” schemes, multi-level marketing, phishing, fraud, and scams.
- Sensitive Categories: Third-party lead generation, gambling/sweepstakes, and non-compliant job postings.
PLEASE NOTE THAT YOUR USE OF THE SERVICE IS SUBJECT TO ONESUITE BUSINESS’ “FAIR USE” POLICY. ANY VIOLATIONS WILL RESULT IN IMMEDIATE SERVICE REMOVAL OR ACCCOUNT TERMINATION.
Services Not Intended for Resale
All of OneSuite Business’ Services are intended for the use of the end-user signing up for the account(s). You are not allowed to resell these services to other users, and you are solely responsible for the accounts created under your name or business.
Fraudulent Activities and Unauthorized Use
OneSuite Business reserves the right to deactivate, disable and remove any suspicious or fraudulent account with or without notice. You are responsible for providing all accurate account information and preventing unauthorized use of your OneSuite Business and Credit Card accounts. You are responsible for all fees, charges and penalties arising out of any unauthorized or fraudulent use of the Services.
Ownership of Numbers
You understand and agree that all numbers OneSuite Business assigned to you, whether local or toll-free, including the numbers that you transferred to OneSuite Business, are the property of OneSuite Business. You may not transfer the ownership or any part of the Services to any third Party without the expressed consent of OneSuite Business. In the event a dispute is induced regarding account ownership, OneSuite Business shall, in its own discretion, determine the rightful ownership of the number. OneSuite Business will not be liable for any fees or charges applied to your Account induced by such dispute.
You also understand and agree that OneSuite Business may from time to time, due to certain restrictions, need to change the number assigned to you; and OneSuite Business may re-assign the number to another customer immediately following the termination of your OneSuite Business Account. OneSuite Business will not be liable for any and all damages arising from such causes, and you hereby waive any claims against OneSuite Business. You may request in writing that OneSuite Business, prior to termination of your Account, transfer the local or toll-free number assigned to you to another carrier, provided that your Account is in good standing. OneSuite Business may, in its sole discretion, grant or deny such request. If such transfer request is granted, a transfer-service charge will be applied against your OneSuite Business Account.
Foreign & domestic carriers and/or regulatory agencies may impose, upon the end-to-end service they provide, limitations, restrictions and/or cease entirely your ability to use the Service that OneSuite Business provides you at any time, without prior notice. In such case, you must conform to said limitations, restrictions and/or entire cessation of service by the foreign and domestic carriers and/or regulatory agencies. You agree to comply with all applicable foreign and domestic laws and rules and regulations regarding the transmission of technical data exported or imported from the United States to your ring-to destination country. You agree to hold OneSuite Business harmless of any damages or liabilities, of any kind, related to your violation of US and/or International laws, rules and/or regulations while you are a customer of OneSuite Business.
OneSuite Business may immediately cancel your Service and repossess any and all phone number(s) associated with your account if/when your use of the Service(s) provided to you interfere in any way to OneSuite Business’ ability to provide Service(s) and products to its other customers.
Account and Password Security
All users are responsible for keeping their own OneSuite Business account credentials confidential, and restricting access to such User’s computer. All users agree to accept full responsibility for all activities that occur within their OneSuite Business accounts. Please highly protect your OneSuite Business logins and services credentials, including but not limited to, your OneSuite Business Account, OneSuite Business IPPBX, OneSuite Business smartphone app, and OneSuite Business fax credentials. Password changing on regular basis is highly recommended.
Please protect all your account information. OneSuite Business is not responsible for lost, stolen credentials, or unauthorized usage of your account.
Real-Time Account Management
To reduce the data loading time, OneSuite Business website only provides call history (“Call Detail Record” or “CDR”) for the last 90 days. OneSuite Business highly recommends that you print or save your own CDR on monthly basis. OneSuite Business reserves the right to pull out any call history from the website that is more than 90 days old. Inquiries for CDR more than 90 days old are based on availability of data, and extra service fees will apply. OneSuite Business does not archive CDR beyond the last 5 years.
Subscription Fees, Usage Charges and Payment; Bill Date
OneSuite Business is a pre-paid service intended for small business use. A subscription is required in order to use the Services and maintain your phone number(s); in addition, you are required to maintain sufficient balance on your account to cover one-time fees, recurring fees and usage charges you may incur.
A subscription to OneSuite Business requires a credit card number for credit verification and payment of charges. By providing OneSuite Business with a credit card number, you grant OneSuite Business authorization to submit charges. You are responsible for preventing unauthorized use of your Account and your credit card.
You are responsible for maintaining a valid and active credit card on your OneSuite Business Account to pay for automatic recharges, monthly subscription (if applicable) and other one-time non-recurring and recurring fees. Expired or invalid credit card resulting in OneSuite Business’ inability to collect payment for autorecharge and any other fees, leading to insufficient prepaid balance, will result in automatic removal of your subscribed service, including the telephone, fax and/or toll-free number(s) assigned to you.
After your successful sign-up, you are also responsible for maintaining sufficient account balance for any one-time fees and recurring subscription charges, and for the real-time deduction of usage charges. Insufficient account balance will result in suspension of your ability to use the Services that incur usage fees, such as per minute or per message fees.
You are responsible for preventing any unauthorized use of your Account and your credit card.
You are entitled to refunds, reimbursements, credits, and exchanges for any portion of your account balance only at the discretion of OneSuite Business, and only if such request has been made by you. Refund will go to the last record of the original payment method. No refunds shall be given for OneSuite Business Credits that are not directly acquired online from OneSuite Business website (e.g. promo codes, vouchers, or referral bonus). Subscription fees are non-refundable (except as expressly provided for the OSB OneLine Service during its 30‑day trial period as set forth in the OSB OneLine Service section below).
Notwithstanding the foregoing, for the OSB OneLine Service only, the annual subscription fee is refundable solely during the 30‑day trial period and under the conditions set forth in the OSB OneLine Service section of this Agreement. After the trial period, the annual fee is non‑refundable even if the account is cancelled before the end of the annual term.
Your subscription fees are billed against your prepaid balance coinciding with the date that you sign-up for a OneSuite Business account (the “Bill Date”); except that, for sign-ups occurring between the 29th and 31st of any given month, the bill date is set to the 1st of the month, resulting in pro-rated subscription fees. Subscription fees for any other service added to the account after sign-up will also be pro-rated to synchronize with your bill date.
You may designate your Prepaid Balance as the Payment Account for your subscription fees / recurring fees by updating the settings in your account profile. You must maintain a prepaid balance that is equal to or higher than your total monthly recurring charges on any given subscription period in order for you to continue using your Prepaid Balance as the Payment Account for your subscription/recurring fees.
Recharges and/or auto-recharges are billed against your credit card at the time of recharge or scheduled auto-recharge.
Pricing and Rates Page
OneSuite Business’ subscription fees and usage rate table are clearly listed on our website’s Pricing and Rates page. All fees and rates in this table are denominated in U.S. dollars. Usage rates are variable and are determined by market conditions and/or any other economic factors. Thus, OneSuite Business cannot guarantee that the rates will not change, and OneSuite Business reserves the right to adjust rates in the future. OneSuite Business recommends that customers periodically review the subscription fee and rate table to be informed of any changes.
Online Payment; Autopay; Auto-recharge
When you elect to enable autopay and/or auto-recharge for your OneSuite Business Account, you agree to the additional terms and conditions for online payments, auto-pay, and auto-recharge that can be found at Autopay Authorization. You may update or edit your auto-recharge settings on your account Profile.
Expiration of Pre-paid Balance due to inactivity
Your OneSuite Business pre-paid account balance will expire six (6) months after the date of first purchase, or the date of each recharge, bonus redemption (if applicable), subscription fee charge or any chargeable usage. The chargeable usage includes VoIP usage (e.g. outbound calling or call forwarding, incoming toll-free calls), SMS/text usage (send and receive) and/or fax usage (sending only).
OneSuite Business reserves the right to disable or to terminate your account login and remove all other features and services if the account balance remains inactive for a period of six (6) months after the account balance has expired. OneSuite Business is not obligated to refund any of the unused balance in the expired and disabled account. The username, service credentials and phone numbers associated with a terminated account may be given to another user without notice to you or such other party.
The annual subscription fee paid for the OSB OneLine Service is not subject to this inactivity expiration; only the separate prepaid balance used for usage charges for that service is subject to expiration as stated above.
Cancellation
This agreement shall remain in full force until such time that it is cancelled by either party. OneSuite Business may cancel, suspend, or otherwise terminate Service at any time without prior notice for any reason which, in OneSuite Business’ sole judgment, may preclude it from receiving payment for its services.
To cancel your OneSuite Business, you may navigate to your company profile and click the Cancel Account button. To cancel or change individual components such as extensions and phone numbers, simply edit the service component (click the pencil icon) and select the cancel button.
Cancelled services will remain active and accessible to you up to the last day of the billed period, provided that, for any service that incurs usage charges, there is sufficient prepaid balance on your account to cover such charges.
For Total Communication accounts, your account will be automatically cancelled when there is no active phone number assigned to your IPPBX.
Bills from your other Telecom Carriers or ISPs
OneSuite Business Services require active connection to the internet. You are responsible for any charges related to the use of your data or internet connection, which is not provided by OneSuite Business.
OneSuite Business will only charge calls, text/SMS or fax, that were connected through our network. You are responsible for calls, text/SMS, or fax that were placed through any carriers other than OneSuite Business and any charges by your wireless carrier, local or long distance carrier, internet service provider (ISP), public phone operator, or any 3rd party carriers to reach our network. We disclaim all such bills as the result of any action or practice done by customers.
Newsletter
OneSuite Business occasionally releases newsletters for its latest products, services, special deals, and other business-related news. The newsletter service is free and can be subscribed online or by sending a request to our Customer Service. OneSuite Business disclaims all responsibility and liability for the availability, timeliness, security or reliability of the newsletter releases. You may unsubscribe this service at any time by unchecking the check box under ‘My Info’ webpage or contacting our Customer Service by postal mail, phone, or e-mail.
Please note that transmissions by e-mail are not secure and are subject to interception by unauthorized individuals. If you wish to send personal or sensitive information, we highly recommend that you contact our Customer Service through postal mail or phone.
Promotion – Coupon Code
Each promotion is identified by a unique coupon code and has different requirements and rewards as the statement attached to it, and a reward can only be received after all requirements of the promotion have been met. Each coupon code is valid for a limited time only and expires on the date specified in the offer. The coupon codes are only valid for online order through the OneSuite Business or OneSuite Business affiliated Web site, and we reserve the right to decline to accept orders where, in our sole opinion, a coupon code is invalid for the order being placed.
OneSuite Business coupon codes are not valid in conjunction with any other promotion. Only one coupon code can be used per order and cannot be applied to orders already placed. Earned coupon bonus cannot be transferred between accounts, do not have cash value, and are not eligible for refund.
Release
OneSuite Business shall not be liable or responsible for any damages, losses, obligations, liabilities, claims and expenses (including reasonable attorneys’ fees and other costs and expenses of any suit, action, investigation, claim or proceeding) of any kind whatsoever, sustained or incurred or required to be paid by OneSuite Business by reason of or arising out of or attributed, directly or indirectly, to improper use of OneSuite Business’s Services. Such a release will include OneSuite Business, its affiliates, and their sub-carriers and subcontractors. OneSuite Business shall not be held liable or responsible for any damages, losses, obligations, liabilities, claims and expenses (including reasonable attorneys’ fees and other costs and expenses of any suit, action, investigation, claim or proceeding) of any kind whatsoever, sustained or incurred by a user because of unconnected calls, undelivered e-mails, SMS/texts, faxes, or voicemails.
Availability of Service
OneSuite Business makes no warranties or guarantees that any country or any number may be accessible through its networks. For example, you cannot use OneSuite Business to place 700, 900 or 976 calls, or to place certain operator-assisted, third-party billed, or collect calls. OneSuite Business does not guarantee the continuous and uninterrupted services of any of its products and the features of its products.
Emergency Services Disclosures
911 Emergency Dialing Description & Limitations.
Service Outages Due to Power Failure or Disruption. Depending on several factors, including, but not limited to, the geographic location of the phone number associated with your VoIP device (i.e., OneSuite Business smartphone app and OneSuite Business OneLine Service) and/or the service address you listed at the time you registered for the service (Registered Location), by dialing 911 on your phone, your call, in many cases, will be routed to emergency personnel responsible for your registered location. Emergency resources and personnel will be dispatched to the registered location regardless of your actual location or that of your VoIP device at the time of the call.
Customer Responsibilities. You must correctly identify the actual service address where your VoIP device will be located when you register for the service. Failure to do so may result in fire, police or emergency personnel either not being able to find your location or may significantly delay their response time. Additionally, you may incur fines or other penalties, including service provider charges, resulting from improper dispatch of emergency services. Should you wish to move your service, you must update your registered location at least ten (10) business days prior to your move to avoid delays and loss of emergency services.
Limitations of 911 Emergency Dialing. YOU ACKNOWLEDGE THAT 911 EMERGENCY DIALING ASSOCIATED WITH VOIP HAS CERTAIN LIMITATIONS, WHICH YOU MUST UNDERSTAND BEFORE ORDERING: (i) 911 only functions if you are using an approved VoIP device, equipment or software and after your order has been processed and you have received a 911 service confirmation. If you use nonapproved equipment or software or attempt to access VoIP 911 service prior to confirmation, 911 may fail; (ii) even though you may be able to make outbound calls immediately after installing OneSuite Business smartphone app, provisioning of 911service may take additional time to complete. If you attempt to make 911 calls before you have received a 911 service confirmation (or prior to completion of 911 provisioning), calls to 911 may fail or may be forwarded to a non-public, backup emergency answering service; and (iii) after 911 is provisioned, emergency personnel may not have your registered location and/or your phone number on file, so you should be prepared to provide that information in the event you require emergency services and dial 911. 911 will not function if: (i) your VoIP device fails or is not configured correctly; (ii) if your service is not working for any reason, including, but not limited to, a power outage, broadband service outage, network congestion, suspension or disconnection of your Service, broadband connection, or electrical power because of non-payment or late payment; or you fail to meet the minimum technical service requirements. FOLLOWING A POWER OUTAGE, YOU MAY NEED TO RESET OR RECONFIGURE YOUR DEVICE PRIOR TO BEING ABLE TO USE YOUR SERVICE, INCLUDING 911. In certain limited cases, your 911 call will not be routed to the traditional wireline 911 dispatch center. Instead, it will be routed to a wireless telephone emergency dispatch center that may not normally receive 911 calls from your registered location. In this case, emergency personnel will not have your registered location and/or your phone number on file, so you should be prepared to provide that information in the event you require emergency services and dial 911.IF THE CALL IS DISCONNECTED FOR ANY REASON, EMERGENCY PERSONNEL WILL HAVE NO WAY TO CONTACT YOU OR DETERMINE YOUR IDENTITY OR LOCATION, SO YOU SHOULD RE-DIAL 911IMMEDIATELY. IF ANY OF THE FOLLOWING OCCUR: (i) traditional 911 or E911 services are not available in your area; (ii) your Registered Location address cannot be validated; (iii) there is a failure in the underlying landline 911 network; (iv) there is a failure in the 911 call or location processing system. First, your call will be routed to a national call center where a trained operator will attempt to determine your identity and location. Neither the call center, nor the emergency dispatch center will have the ability to determine your location other than by asking you to provide your name and physical address. Only then will the operator be able to connect the call to an administrative number of the proper emergency dispatch center. THIS MAY RESULT IN A DELAY IN HANDLING OF YOUR EMERGENCY CALL AND, CONSEQUENTLY, MAY RESULT IN FIRE, POLICE OR EMERGENCY PERSONNEL EITHER NOT BEING ABLE TO FIND YOUR LOCATION OR MAY SIGNIFICANTLY DELAY THEIR RESPONSE TIME. FURTHER, IF YOU DO REACH EMERGENCY PERSONNEL, THEY MAY NOT HAVE THE ABILITY TO CONTACT YOU IF THE CALL IS DISCONNECTED FOR ANY REASON, SO YOU SHOULD REDIAL 911 IMMEDIATELY.
Agreement & Acknowledgement. You agree to advise all friends, guests, family members, or any others who might place calls over your IPPBX service of these limitations herein. You authorize OneSuite Business and its agents and/or partners, to disclose your name and address to third-party emergency services providers in order to dispatch emergency personnel to your Registered Location. You understand that OneSuite Busines and its underlying providers do not warrant the availability of a particular method of 911for any location and/or the availability of 911 services.
ONESUITE BUSINESS DISCLAIMS ALL RESPONSIBILITY FOR:
THE END-USER’S ABILITY TO RELAY THE NATURE OR LOCATION OF THE EMERGENCY TO THE EMERGENCY RESPONSE CENTER ANSWERING ANY 911 CALL;
THE ABILITY OF THE END-USER’S EQUIPMENT OR INTERNET OR DATA CONNECTION TO CONNECT TO AN EMERGENCY RESPONSE CENTER AND/OR PUBLIC SAFETY ANSWERING POINT WHEN MAKING A 911 CALL; AND
THE CONDUCT OF THE EMERGENCY RESPONSE CENTER AND/OR THE PUBLIC SAFETY ANSWERING POINT, INCLUDING IF THE DATA USED BY SUCH THIRD PARTY TO ROUTE THE CALL IS INCORRECT OR YIELDS AN ERRONEOUS RESULT.
If you do not agree with the limitations on 911 service, you must ensure you have an alternative means of accessing traditional 911 services.
Limitation of Liability with Respect to Emergency Services/911 Capabilities
YOU ACKNOWLEDGE AND UNDERSTAND THAT ONESUITE BUSINESS, ITS AFFILIATES, DIRECTORS, OFFICERS, EMPLOYEES, AGENTS, UNDERLYING CARRIERS AND SUPPLIERS, AND APP PROVIDERS (COLLECTIVELY, “ONESUITE BUSINESS PARTIES”) WILL NOT BE LIABLE FOR ANY INABILITY TO ACCESS EMERGENCY SERVICES THROUGH THE SERVICES OR OTHER ONESUITE BUSINESS PROPERTIES. BY ENTERING INTO THIS AGREEMENT AND/OR USING THE SERVICES, YOU HEREBY WAIVE AND RELEASE ONESUITE BUSINESS, FROM, ANY ACTIONS, CLAIMS, DAMAGES, LIABILITIES, LOSSES, INJURIES, AND COSTS AND EXPENSES (INCLUDING ATTORNEYS’ FEES) OF ANY KIND (COLLECTIVELY “CLAIMS”) ARISING DIRECTLY OR INDIRECTLY OUT OF, OR RELATING IN ANY WAY TO THE NON-PROVISION OF EMERGENCY SERVICES THROUGH THE SERVICE OR ONESUITE BUSINESS PROPERTIES, INCLUDING WITHOUT LIMITATION ANY INABILITY ON THE PART OF YOU OR OTHER USERS TO ACCESS EMERGENCY SERVICES OR TO PROVIDE LOCATION INFORMATION FOR TEXTS TO 911-EMERGENCY SERVICES, AND YOU AGREE TO INDEMNIFY AND HOLD HARMLESS THE ONESUITE BUSINESS PARTIES FROM ANY CLAIMS ARISING DIRECTLY FROM THE NON-PROVISION OF 911 OR PUBLIC SAFETY ANSWERING POINT CALLING CAPABILITIES THROUGH THE SERVICES AND ONESUITE BUSINESS PROPERTIES.
No Directory Listing
You acknowledge that OneSuite Business does not publish any phone number assigned to you. In addition, OneSuite Business will neither assist nor be responsible for any expenses of your request in publishing any phone number(s) provided by us. Please be advised that we have no control over any publications or directory listings done by previous subscriber of the number assigned to you. If you receive calls from previous subscriber’s callers, you shall contact us immediately to replace it with a new number, and this is the only remedy you will receive from us for such incident. You also understand and agree that you will be solely responsible for any expenses, fees, damages, and/or losses with regard to the publication or directory listing of the phone number(s) provided by OneSuite Business.
Smartphone App, BYOD and Other VoIP Registration Media
In order to receive the benefits provided by the OneSuite Business smartphone app, you hereby grant us permission to utilize the processor and bandwidth of your smartphone for the limited purpose of accessing our network, and OneSuite Business is not responsible for the technical support to your device. To the extent that you are able to deploy OneSuite Business IPPBX using your own device through our BYOD program, OneSuite Business is also not responsible for the technical support of your connected devices. OneSuite Business will only provide support to OneSuite Business-labeled software and hardware.
Non-HIPAA Compliant
OneSuite Business Fax is not compliant with the Health Insurance Portability and Accountability Act (HIPAA). You acknowledge and agree that by subscribing to OneSuite Business Fax service, your intended use of the Service does not require compliance with HIPAA.
Non-GDPR Compliant
You represent and warrant that you are not a resident of the European Economic Area or EU. If you are a resident of the European Economic Area or EU, please deactivate your account with us. We are currently focused on US and Canadian markets and have not yet implemented the EU’s General Data Protection Regulations (GDPR). In the event OneSuite Business becomes aware of EU residency, OneSuite Business may terminate the account at any time with no liability to you whatsoever.
Consent to Receive Customer Service Calls, SMS/text and/or Email
By providing your email address, telephone number, mobile number and your mailing address in your OneSuite Business Account Profile, you consent to receive communications from OneSuite Business as it relates strictly to account management purposes, including, but not limited to, ticket status updates, payment reminders, expiration and renewal notifications, port out notifications, notifications about fraudulent and suspicious account activity, cancellation notices, rate changes, and the like. These communications are primarily sent by us through email; however, in limited instances, you agree to receive calls and SMS/text messages, and regular mail from OneSuite Business in the event that our primary means of communications with you remain unanswered. Please refer to our Privacy & Security Policy .
Customer Support
OneSuite Business Customer Support is solely for issues related to the OneSuite Business accounts. If you utilize the Support Service in a manner inconsistent with these terms and conditions, OneSuite Business may, in its sole discretion, terminate your access, block your future access and/or seek such additional relief as the circumstances of your misuse violates this Customer Support Policies.

Changes to Terms and Conditions
OneSuite Business reserves the right to revise these Terms and Conditions at any time, and users are deemed to be apprised of and bound by any changes to Terms and Conditions.
